Terms & Conditions

Bookings

  • Bookings can be made via email, telephone or WhatsApp. Belgraves of London will provide a confirmation email for bookings made.
  • For your peace of mind, we monitor flight arrivals and make the necessary adjustments to the booking. Clients will be informed if there are any major changes to the original scheduled flight arrival time.
  • To fulfil our obligations, we kindly ask for the following information to be provided at the point of booking:
    • Passenger name and contact number
    • Collection time
    • Collection address and destination address(es)
    • Arrival/departure time with flight number or tail number for non-commercial flights
    • Any special requirements (these must be stated at least 24 hours in advance of the booking)

Charges & Cancellations

Travel Allowances

All hire charges start from and finish back to Central London. The travel allowances from Central London to the collection point and vice versa are as follows:

  • Central London – 0 minutes
  • Ascot, Heathrow Airport & London City Airport – 60 minutes
  • Luton, Gatwick, Farnborough & Stansted Airport – 90 minutes

Minimum Hire Requirements

  • There is a 3-hour minimum hire on the Mercedes-Benz E Class, S Class, V Class/EQV300 & BMW i7
  • There is a 5-hour minimum hire on the Range Rover & Rolls Royce Phantom
  • The minimum hire does not apply if there are 2 bookings on the same day with 3 hours or less between the end of the first booking and the start of the next booking, which would be charged at the relevant hourly rate throughout the service

Pricing & Charges

  • Quoted rates are exclusive of VAT currently set at 20%
  • Airport set rates include a 60-minute waiting time at the airport for commercial arrivals from the time the plane has landed. Waiting time will be incurred after 60 minutes has elapsed and charged at 30-minute intervals at the relevant hourly rate
  • Car parking fees, airport drop off fees, tolls and central London congestion charge are charged at cost
  • All hire charges are rounded up to the nearest 30-minutes

Cancellation Policy

  • Standard vehicles: Cancellations made within 24 hours of the booking time will be subject to the booked charge
  • Luxury vehicles: Cancellations for Rolls Royce, Maybach and Bentley vehicles made within 48 hours of the booking time will be subject to the booked charge
  • Specialist bookings: Armoured, specialist vehicles and event bookings for multiple vehicles cancelled within 4-7 days of the booking will be subject to 50% of the entire booking cost and if cancelled within 1-3 days of the booking subject to 100% of the booking cost
  • Peak season: Event bookings within the peak season of June, July and August are subject to a 25% non-refundable deposit payable at the point of booking

Additional Charges

  • If our chauffeurs are required to stay overnight, accommodation is charged at cost. Where a chauffeur is required to stay overnight, a 12-hour minimum day rate applies each day
  • 20% surcharge is applied to services between the hours of 22:00 – 06:00
  • 100% surcharge is applied to hires after 18:00 on Christmas Eve and New Year’s Eve and all day on Christmas Day, Boxing Day and New Year’s Day

Credit Facilities

  • Account facilities are available for registered UK and international companies
  • Payment is due within 28 days from the date of invoice wherein the hirer has a credit account facility. If the hirer does not have a credit account, then payment is due in advance of the hire taking place and 14 days in advance for event and specialist vehicle bookings
  • All account holders will be notified at least one month prior to any price increases

Hires

  • We cannot allow any person other than our chauffeurs to drive our vehicles, except in the case where a hirer has taken out a self-drive agreement
  • Animals may be carried with prior consent but will usually be restricted to domestic animals housed securely in a suitable carrying case. Assistance dogs will be carried without prior notice
  • We reserve the right to refuse excessive luggage which cannot fit into the boot of the vehicle. Due to safety and insurance reasons, we are not permitted to carry luggage within the vehicle cabin
  • Passengers are prohibited by law from smoking within the vehicle
  • During peak times we may have to sub-contract your booking
  • If, for any reason, we are unable to provide the vehicle requested, we will at our own expense provide an equivalent or upgraded model
  • We reserve the right to change the chauffeur any time prior to the start of the booking
  • In the unlikely event of a vehicle failure, we will send a replacement vehicle as soon as logistically possible
  • Our chauffeurs will choose the most appropriate route on the day using their experience & knowledge of local conditions, unless instructed otherwise by the client

Complaints

Any problems, complaints, or concerns in relation to your booking must be made within 28 days from the end of the booking (including receipts and documentary proof of alleged losses) to customer services:

We will acknowledge all complaints within 24 hours (or the first working day if this falls on the weekend or public holiday). Our policy is to resolve any issues raised within 28 days and in accordance with our complaints policy.

Health & Safety

  • Passengers are required to always wear seatbelts when travelling in the vehicle
  • Unfortunately, we cannot carry any more passengers than the vehicle licence allows
  • Our chauffeurs are instructed to drive at safe speeds and in accordance with the road and traffic regulations
  • We will refuse to carry any passenger who is thought to be under the influence of alcohol or drugs and whose behaviour poses a threat to the chauffeur, any other passenger(s) or the vehicle
  • We will not tolerate any verbal or physical abuse directed to our chauffeurs or staff

Force Majeure

We will do our utmost to ensure our drivers are punctual. We cannot accept responsibility for delays caused by circumstances outside of our control such as but not limited to traffic delays, weather, mechanical or electrical vehicle failure, pollution, natural disaster, terrorism, or vandalism.

Statutory Rights

  • Belgraves of London Ltd acts a private hire operator, however in line with transport For London’s compliance regulations we recognize the passenger as principal
  • Nothing contained in these terms & conditions can or is intended to affect the client or passengers’ statutory rights

Void Clause

If any clause is deemed unenforceable it will not be relied upon, but the rest of the terms & conditions will remain in force.

Jurisdiction

This agreement is subject to the jurisdiction of the laws of England & Wales.
